The evolution of CAFM software

From procurement considerations to market shifts, FSI’s Sharon Greaves and SWG’s Andrew Carver discuss the CAFM offering

What are the important considerations when procuring CAFM system?

Sharon Greaves, Programme Delivery Manager at FSI:

  • The future and longevity of the product: Consider the company that’s developed the system – what does their development roadmap look like? Are they using the latest technology? You need to understand their long-term vision and strategy and how this is going to support and scale with your future needs and growth.
  • Relevant experience: Experience, particularly within an industry similar to yours, speaks volumes. Look for those with big names under their belt, someone who’s trusted to deliver to companies of similar size and stature as yours.
  • Team infrastructure and depth: Ensure the company invests time into the software, but also delivery as a whole. FSI has global infrastructure, development, support and sales teams, but we also have an extensive professional services team. We have a dedicated Knowledge Group to keep abreast of the FM market and what our clients need.

How has the CAFM market evolved since last year?

I recently presented on ‘Global FM Trends’ at our Building Lifecycle Management Forum in Sweden. The most significant evolution we’ve seen this year in FM has been the interest in BIM and digitisation of the built environment, IoT and smart buildings.

How quickly are CAFM systems changing and what is the most notable of these changes?


CAFM is changing as rapidly as facilities management as a whole. The industry has always been quite fluid, but the breadth of services is expanding. It’s no longer just help desks and planned maintenance, integrated workplace management systems are plugging more and more business functions and data into FM. I think more companies are looking at how we can use this information to predict issues, picking up on trends and analysis from collective data to allow businesses to make more informed decisions.

To what extent has CAFM become cloud-based?


Our FM global research suggests there is a general trend toward cloud-based solutions, however, our experience is that this largely depends on the industry and global region. Some industries have a policy of hosting on premises whereas some of our global regions require a local cloud-solutions provider such as in the Middle East. So while we see a trend towards more cloud-based CAFM, we expect to be providing a mixture of on-premises, regional cloud and global cloud CAFM solutions to suit client requirements around the world.


We’re seeing an increasing number of clients switch to cloud-hosted and SaaS-based systems. The majority of new clients prefer to go cloudbased, because they want a fully integrated solution. Plus, they know we can deliver the whole hosting package too.
