Traditionally, when building assets are procured, it’s their initial cost that is the primary consideration for many businesses across Asia. While the one-off outlay is understandably an important factor, what’s often overlooked is the ongoing asset management and maintenance. Through CAFM/IWMS implementation, facilities management teams can harness incredibly detailed information that allows for the measurement, monitoring and control of all built assets – with meaningful data that can drive real-world decisions. For those who consider financial information to be integral, having this data readily available will provide a much more holistic approach to determining the ongoing costs associated with all assets.
This insight can help to highlight everything from asset failure risks, the costs of managing your assets over the year or, much longer-term, identify priorities for maintenance and ultimately automate what has traditionally been a range of very manual and time-consuming tasks.
The Importance of Proactive Lifecycle Management
While reactive maintenance is sometimes necessary, breeding a culture where this is the norm is not sustainable. Leaving the management of assets up to fate not only potentially exposes your organisation to several operational risks, but also leaves you vulnerable financially, as you’re unable to plan and forecast any future expenditure. The more gaps there are in your asset knowledge, the less in control you will be of employee wellbeing, costs and resources.

The holistic CAFM/IWMS approach works to improve the lives of users in several ways. Ensuring assets are fully-working, compliant and managed at the optimal settings gives employees and guests a comfortable environment to thrive in. When employees are comfortable they are more likely to be productive, and when facilities aren’t up to scratch or there are technical issues, this can hinder the quality of their working day and daily interactions.
FM teams benefit from having notification of cyclical maintenance requirements and can take advantage of automated workflows, subsequently allowing them much more time to focus on the bigger picture and their other duties. Those that occupy the building are empowered through access to self-service apps and being able to feedback on anything of concern.
Without effective asset lifecycle management, you won’t have access to data that can automate maintenance requests or that can justify a major refurbishment, renewal or even replacement. By collating the real-time information of performance, costs and energy consumption, you can help build a business case for a funding request or help optimise your already outlined budget. In addition, being able to keep the building operating as it should be ensures that the employee experience is a positive one and encourages greater productivity.
When assets are unpredictable, so is the working day. If a helpdesk is taking a high volume of unforeseen requests, there may not be the in-house staff or contractors scheduled in to deal with them. This will have a knock-on effect for the FM team and put pressure on other areas of the business where scheduled work was due to take place.
Proactive Lifecycle Management in Practise
Having the knowledge to analyse the status of assets and prioritise based on real data saves time, protects the operational efficiency of a business and allows for more controlled and predictive maintenance to take place. But above all it promotes employee wellbeing, an area which is yet to see major growth here in Hong Kong and across Asia.
